Welcome to Shepherd University. It is our pleasure to have you as a summer conference guest. Here is some information to assist you during your stay. If you have any questions or concerns, contact the director of your group or a member of the conference staff for information.
- Emergencies, Campus Telephone Numbers, Messages
To reach a university police officer, call (304)876-5202. In an emergency situation, local fire, ambulance, and police can be reached by dialing 911 from any pay phone or 9-911 from any campus phone. For other assistance, during office hours (8:00 a.m. to 4:30 p.m., M-F), call the university police office at (304)876-5374. General telephone directory numbers are available from 8:00 am- 4:30 pm, Monday – Friday by calling (304) 876-5000.
Messages may be left with your group’s conference director. We request that guests receive outside calls only in emergency situations. We do not have the personnel available to take and deliver personal messages. In the event of an emergency, callers may call contact university police at (304)876-5202. - Parking
During the summer months, most campus parking spaces are considered “open”, except those areas reserved for the President, library staff, medical staff, and other normally restricted areas (handicapped, “red” or “yellow” curbs, tow zones, parking meters, loading docks, etc). Parking permits are not required, although in special situations, they may be issued to certain groups. If you are bringing a bus, please contact university police at (304)876-5202 for directions on where to load, unload, and park. - Meal List and Meal Hours
Your group director will provide a list of all members to the dining Services staff. The staff will be responsible for checking you off each time you dine.
Your group has been assigned specific meal hours for your event. It is essential you eat during the assigned hours only. The hours will be announced by the director of your group. - Residence Hall Conference Assistants
Residence hall reception desks are not open on call. A notice will be posted in the lobby or service center of each residence hall listing the number. During regular office hours Monday through Friday (8:00am to 4:30pm), you may call the Residence Life office, (304)876-5172, for assistance. - Laundry Facilities
All residence halls have free clothes washers and dryers. Ask a member of the conference staff for the location of the nearest machines. Laundry detergent is available from the University Bookstore (M-F 8:00am to 5:00pm), located in the Student Center and the Ram Mart, located in West Woods Service Center in Boteler Hall.
Your group has been assigned specific meal hours for your event. It is essential you eat during the assigned hours only. The hours will be announced by the director of your group. - Linen
For an additional cost groups can arrange in advance for pillows, blankets, towels, sheets, and pillow cases. Please see a conference rate sheet for current pricing. - Room Cleaning
Rooms are not cleaned by staff after you have checked in. Hallways, lounges, and shared restrooms are cleaned daily. Trash bags are provided for each room and can be emptied in each residence hall dumpster. - Mail
Mail for all summer conference groups is delivered to the conference office. We then deliver mail for specific groups once each day, to the assigned residence halls (or to another central location as designated by your group director). If you are expecting mail, it must be addressed like this: PARTICIPANTS NAME and NAME OF GROUP c/o Conference Coordinator Student Center Shepherd University Shepherdstown, WV 25443-5000 Mail not correctly addressed, and mail which arrives after the conclusion of your event will be returned to the sender. A full service post office is located in downtown Shepherdstown. A mail box is located at the entrance to the Student Center with pick up every day except Sunday. - Banking Services
Three banks are conveniently located in the Shepherdstown area. All have ATM’s which honor most nationally recognized ATM cards. An ATM machine is also located in the 1st floor lobby of the Student Center. - University Bookstore
The Shepherd University Bookstore is located on the ground floor of the Student Center. T-shirts and other Shepherd University items may be purchased there, as well as office supplies, cards, candy and personal items. Open 8:00am–5:00pm M-F. - Check Out
Be sure to be checked out of your room and from the residence hall by the time indicated by the director of your event. It is very important that rooms be vacated on time as other groups are often scheduled to occupy the same hall almost immediately. Please return your key/keycards(s) to the lobby of each residence hall and have them checked in by a conference assistant. - Lost and Found
Check your room carefully for all personal belongings before leaving. Items left behind may not easily be recovered. Please contact the Lost and Found at the Information Center in the Student Center at (304)876-5497. When lost items are recovered, the items will be returned “Collect” via Federal Express.
