Spam Management

Shepherd University filters incoming email to reduce unwanted messages or "Spam". The product we use is aggressive and has a high capture rate. Occasionally, valid email may be falsely identified as spam. Our system gives you the tools to manage your email and ensure that valid email gets delivered.

Periodically you will receive an email with the subject "Quarantined Mail Digest". This Digest lists the messages that have been captured as spam and gives you the options to manage it.

What is the Quarantine?

The Quarantine is where email messages flagged as spam are temporarily stored. You can release your messages from the Quarantine if you determine they are not spam. Messages not released from the Quarantine are automatically deleted after 14 days.

How do I release an email message from the Quarantine?

Sometimes, the server designates a message as spam even though it's a legitimate message. If you decide you want to read the message, you can release it. Releasing the message removes it from the Quarantine and delivers it to your mail box.

What are the Safe and Blocked Senders List?

The Safe Senders List contains the addresses of people and organizations from which you want to receive mail. It is not necessary to add all your contacts to the Safe Senders List, however; adding them will ensure that their mail is always delivered to you. If an email from a friendly contact appears on your Digest, click on "Safelist" to release the message and put that person on your Safe Senders List. See below:

The Blocked Senders Lists contains addresses of people and organizations from which you do not want to receive email. To add contacts to your Blocked Senders List, see "How do I Manage My Account".

How do I request a new Quarantined Mail Digest?

Your Digest has an option to "Request New Quarantined Mail Digest". Click on this to receive a list of all the messages in your Quarantine.

A browser window will open to let you know the request is being processed. It may take a few minutes to have a new Quarantined Mail Digest emailed to you.

How do I request my Safe and Blocked Senders List?

Click on Request Safe/Blocked Senders List in the Digest.

A browser window will open to let you know the request is being processed.

It may take a few minutes to receive the Safe/Blocked Senders List in your inbox. Click Delete to remove a sender from the list. Click Add to include an email address on the list.

When you click on add or delete, it will take you to your account.

How do I Manage my Account?

The Manage My Account link allows you to:

Add and delete email addresses from your personal Safe Senders (Safelist) and Blocked Senders lists.
Change the Digest options and its delivery. We strongly recommend you do not change Digest delivery settings.

Click on Manage My Account in your Digest.

If your Safe Senders and Blocked Senders lists do not appear in the left column, click on Lists in the bottom left corner.

Click on the list you wish to look at.

You can add an address to the safe or blocked senders list by clicking New. You can also Edit or Delete an existing address in either of these lists.
To choose whether or not you want to receive a Digest even when you do not have messages in the Quarantine, click on Profile in the bottom left corner.

Click on Settings.
The Send digest with new messages in my Quarantined Mail Digest is checked. We recommend you do not uncheck this box. If you do, no digest will be sent and you will not know about any wanted messages classified as spam.
The check box by Send digest even when I have no messages in my Quarantined Mail Digest is unchecked by default. We recommend you do not check this box because you will receive digests with no e-mails. If you want to receive these blank digests, check this box.

The Account option under Profile does not contain any changeable options, so no instructions are needed.
